Build the budget in the currency you will spend, convert the total into your home currency, then add any payment fees and a separate reserve for unexpected costs.

Start with a local-currency list

A budget is easier to follow when meals, transport and accommodation use one currency. Write down what you have already prepaid and what still needs paying. Otherwise, you may count a hotel twice or forget that a booking deposit is not the full price.

A five-day example

Imagine meals of 30 EUR per day, local transport of 10 EUR per day and activities of 20 EUR per day. That is 60 EUR a day, or 300 EUR over five days. Add 400 EUR of unpaid accommodation and the planned spending becomes 700 EUR before payment fees and emergencies.

These are arithmetic examples, not suggested prices for a particular destination. Use actual quotes and a plan that fits your circumstances.

Convert the total, then check individual costs

At an invented rate of 1 EUR = 1.10 USD, 700 EUR equals 770 USD. If the rate changes to 1.15, the same local spending costs 805 USD. That is why a budget made far before travel may need updating.

Try 700 EUR to USD or 700 EUR to GBP with the latest reference observations. You can also open smaller amounts when comparing a menu or a ticket.

Add costs that are easy to miss

  • Card foreign transaction charges and ATM fees.
  • Local taxes or booking charges not included in a headline price.
  • Transport between the airport and your accommodation.
  • Deposits or temporary holds that reduce available funds.
  • A reserve for a change of plans.

Keep the reserve distinct from planned spending. Its size depends on the trip, available backup and your needs; there is no universal correct percentage.

Track the trip in one place

Record spending in local currency each day. That makes it easier to see whether you are above or below the plan without repeatedly converting every purchase using slightly different rates.

Common questions

Does converting early lock my travel costs?

Only money actually exchanged at a confirmed rate is fixed in that sense. Prices, fees and the rest of your spending can still change.

Should I carry the full budget in cash?

Consider payment access and loss risk. A budget is a plan, not a recommendation to carry the entire amount as notes.
